Contract: Processing necessary to fulfil our grooming service agreement with you.

Your data is stored securely using our booking platform (Bookd by GETBOOKD LTD), which uses encrypted servers hosted in the EU. Phone communications via password-protected devices. Financial records maintained in accordance with HMRC requirements.

We retain your personal data for as long as you are an active client, plus 6 years after your last appointment (to comply with UK financial record-keeping requirements). You can request earlier deletion of non-financial data at any time.

6. Who We Share Your Data With

We do not sell your personal data to anyone. We may share limited data with:

Bookd (GETBOOKD LTD): Our booking and client management platform.
Payment Processors: Stripe, for secure payment handling.
Communication Services: Twilio (SMS reminders), Brevo (email communications).
Veterinary Professionals: Only in an emergency situation involving your dog's health, with your prior authorisation on file.

All third-party processors are GDPR-compliant and process data only on our instructions.

1. About Us

The Grooming Boutique is a home-based, professional dog grooming service operated by Grooming Boutique Ltd, located at 49 Maes y Crofft, Morganstown, Cardiff CF15 8FE. By booking an appointment or using our services, you agree to the following terms.

2. Booking and Appointments

All appointments must be booked in advance through our online booking system, by phone (07725 573163), or via message.

A booking confirmation will be sent via email or text. Please check the details and let us know immediately if anything is incorrect.

We reserve the right to refuse service at our discretion, including if a dog shows signs of aggression, illness, or if the owner has repeatedly failed to comply with our policies.

3. Cancellation and No-Show Policy

We require a minimum of 24 hours' notice to cancel or reschedule an appointment.

Cancellations made with less than 24 hours' notice, or no-shows, may be charged a cancellation fee of up to 100% of the booked service price.

Repeated no-shows (two or more) may result in a requirement to pay a deposit for future bookings or a refusal of future appointments.

4. Payment

Payment is due at the time of service unless otherwise agreed.

We accept bank transfer, card payment (via Stripe), and cash.

For certain services or new clients, we may require a deposit at the time of booking. Deposits are non-refundable if the cancellation policy is not followed.

Prices are as listed on our website or booking page at the time of booking. We reserve the right to adjust pricing for matting, additional services, or circumstances discovered during the groom, with your approval where possible.

5. Health and Safety

Owners must disclose any known health conditions, allergies, skin issues, behavioural concerns, or recent veterinary treatments at the time of booking.

All dogs must be up to date on vaccinations (including Kennel Cough where applicable). Proof may be requested.

If your dog shows signs of contagious illness (e.g., fleas, ringworm, kennel cough), we may need to refuse or postpone the appointment for the safety of other animals.

In the unlikely event of a medical emergency during grooming, we will contact the owner immediately and, if necessary, seek emergency veterinary care. By booking with us, you authorise us to seek emergency treatment if we cannot reach you, and agree to cover any associated veterinary costs.

6. Liability

We take every care to ensure your dog's safety and comfort. However, grooming carries inherent risks (including minor nicks, clipper irritation, or stress reactions), particularly with matted, elderly, anxious, or uncooperative dogs.

We are fully insured through Protectivity, with Public Liability coverage and Care, Custody & Control cover for animals in our care.

We are not liable for pre-existing conditions, undisclosed health issues, or behavioural reactions that could not have been reasonably anticipated.

If you have any concerns about your dog after a groom, please contact us within 48 hours so we can address the issue promptly.

7. Use of Our Website

Our website is provided for informational purposes and online booking. All content, including text, images, branding, and design, is the property of Grooming Boutique Ltd.

You may not reproduce, distribute, or use our content without written permission.

8. Intellectual Property

The Grooming Boutique name, logo, branding, and all associated materials are the property of Grooming Boutique Ltd. Unauthorised use is prohibited.

Photos taken of your dog during grooming remain our property but will only be shared publicly (e.g., on social media) with your explicit consent, as outlined in our Privacy Policy.

9. Changes to These Terms

We may update these Terms of Service from time to time. Changes will be communicated to active clients and updated on our website. Continued use of our services after changes constitutes acceptance of the updated terms.

2. Sub-Processors

We use the following third-party processors to deliver our services. All are GDPR-compliant and process data only on our documented instructions:

Bookd (GETBOOKD LTD) — Booking management, client records, appointment scheduling. Data hosted on encrypted EU servers (Supabase/AWS Frankfurt).

Stripe Inc. — Payment processing. PCI DSS Level 1 certified. Processes card details directly; we never store card numbers.

Twilio Inc. — SMS appointment reminders and booking confirmations. Processes phone numbers only.

Brevo (Sendinblue) — Email communications including booking confirmations, reminders, and service updates. Processes name and email address.

3. Data Processed

Client data: Name, email, phone, address — used for booking management and communication.

Pet data: Name, breed, age, weight, health notes, vaccination status, grooming preferences — used to deliver safe, tailored grooming services.

Booking data: Appointment dates, services, grooming notes, payment records — used for service delivery and financial compliance.

Photos: Before/after grooming images — stored locally and only shared publicly with explicit written consent.

4. International Transfers

Some sub-processors (Stripe, Twilio) are US-based. Transfers are protected by Standard Contractual Clauses (SCCs) and/or UK International Data Transfer Agreements (IDTAs) as required under UK GDPR.

5. Retention

Active client data is retained for the duration of the client relationship. After the last appointment, data is retained for 6 years to comply with HMRC financial record-keeping obligations. Non-financial data can be deleted earlier on request.

6. Security Measures

All data is encrypted in transit (TLS 1.2+) and at rest. Access is restricted to authorised personnel only. Our booking platform enforces row-level security policies. Regular security reviews are conducted.

7. Data Subject Rights

Individuals may exercise their UK GDPR rights (access, rectification, erasure, restriction, portability, objection) by contacting info@thegroomingboutique.co.uk. We will respond within 30 days.

8. Complaints

If you believe your data protection rights have been infringed, you may lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
